You are encouraged to book your accommodation through the Congress Secretariat to ensure that you receive competitive rates. Accommodation can be booked through the APAO Sydney 2011 Congress registration form.

Deposits

Accommodation will not be confirmed until a deposit of one night’s tariff is received. This deposit will be forwarded to your hotel and will be credited to your room account. Delegates must settle the balance of their account with the hotel concerned upon check out. If accommodation deposits are not received before 15 January 2011 your room will be released back to the hotel. The Congress Secretariat does not take responsibility for accommodation if deposits are not received by this date.

Cancellations

Should you wish to cancel your accommodation booking, you must do so in writing to the Congress Secretariat. Cancellation requests received by 15 January 2011 will receive a refund of the deposit paid. Delegates who advise of cancellation on or after 15 January 2011 will forfeit the full deposit amount plus the ‘no-show' rate as set by the hotel. The 'no show' rate is calculated by multiplying the hotels per night 'no show-rate' by the number of nights booked. Please ensure that accommodation dates are correct at time of booking.

Change of booking

Any change in booking must be made in writing to the Congress Secretariat and NOT directly to the hotel, however, after 10 March 2011, please contact the hotel directly for any changes.

Early arrival

Some international flights arrive in Sydney in the very early morning. As check in at most hotels is not until 1500, it is possible that your room may not be ready for immediate occupation on your early arrival. Whilst hotels will do everything possible to accommodate early arrivals, if you wish to be guaranteed immediate occupation you can pay an extra day’s tariff for the night before you are due to arrive. If you wish to take this precaution, please advise the Congress Secretariat on the registration form so we can notify the hotel that your room is required early.

Late arrival

Please indicate if you will arrive at your hotel after 1800. Failure to do so might result in your room being released.

Group accommodation bookings

The Congress Secretariat offers organisations the opportunity to contract ten or more rooms for the Congress. This requires a contract to be signed with Congress Organisers ICMS Australasia and your organisation to block the group reservation.

Budget accommodation

Please note that for budget accommodation under a three star rating, you will need to contact hotels directly and not via the Congress Secretariat. The YHA Australia (Australian Backpacker and Youth Hostel Accommodation and Travel) can be found at www.yha.com.au.
